The role
You will support the Head of People and Culture and the wider Senior Management Team with administration relating to HR, Facilities Management, Health & Safety and Executive Support.
Responsibilities
- Updating, and reporting from HR management system (Hi-Bob) and some system admin.
- Recruitment and onboarding – scheduling and supporting managers in interviews.
- Requesting documentation to prove eligibility to work in the UK
- Preparing job offers and contracts of employment as instructed.
- Carrying out inductions with new employees.
- Payroll amendment administration.
- Administration of employee benefits and reward and recognition e.g. adding new employees to policies, arranging performance rewards.
- Assisting with arrangements for and attending careers fairs/hosting work experience students.
- Supporting management to ensure the Health & Safety of employees by carrying out and recording fire alarm tests; implementing recommendations from fire or general health and safety audits.
- Supporting welfare of all employees across both adjacent company office sites by liaising with suppliers regarding maintenance of the premises/services, and promotion of employee wellbeing initiatives e.g. by posting shoutouts on the company HR system Hi-Bob.
- Ad-hoc administration and support to CEO and CFO in-office and out-of-office e.g. diary management, dealing with confidential matters, travel/accommodation arrangements, collections and deliveries, arranging meetings including refreshments and presentation equipment, and greeting guests.
What we're looking for
Ideally, you'll be:
- Professional and confident with the ability to adapt to changing circumstances.
- Self-motivated and forward-thinking, with the ability to work in cross-functional teams and remain flexible, when required.
- An excellent communicator (both written and verbal) across a broad range of situations
- Strong in people, administrative, and organizational skills with great attention to detail.
- Skilled in using Microsoft systems – Word, Outlook, Excel
- Able to maintain strict confidentiality at all times.
- Strong people background, with a proven track record in successfully managing multiple ongoing projects and ad hoc requests.
- Able to maintain professionalism balanced with pragmatism and care at all times.
- Experienced in Office Management, HR admin or Executive Support.
Bonus points for:
- Experience of Hi-Bob Management system
- Health and Safety in an office environment awareness / qualification.

Interview process
Our interview process involves two stages:
- Face-to-face interview (45 mins – 1 hour)
- Meet the team: if you get through to this stage, you will be invited to go into the office to meet the team. This will allow both parties to set expectations and ensure the role is a good fit for the candidate.
